Contractor Role (15 hours pw).
Initial short-term contract offered to Friday 28 May 2021 with possibility of extension.
We are looking for a confident and experienced school engagement co-ordinator with excellent writing and communication skills to manage the bookings of our Gift a Seat™ recipients and to build our paying audience of schools, early childhood centres and school holiday programmes (managed by the Business Development Manager and Artistic Director); interfaces with the Funding Assistant and Marketing Assistant; and in general office administration duties. Must have excellent attention to detail.
Gift a Seat™ bookings
- Send out, receive and record applications of interest in Gift a Seat™ allocations for future shows
- Once Gift a Seat™ funding or donations are received, to book in allocations balancing request and funding allowance
- Ensure booking is accurate and confirmed with booking system and education group attending
- Send out Teachers’ Resource Guides
- Manage any amendments to bookings
- Ensure post-show surveys are completed and results shared with appropriate team members
- Glean and manage feedback from Gift a Seat™ recipients to ensure that information such as ethnicity, numbers of children, social outcomes etc are shared with team for reports on funding and future funding applications.
- Ensure photos of visit by Gift a Seat™ audience are taken by Audience Host at the show and filed for use in funding reports or in company communications.
- Ensure contact details are kept up to date.
- Book and manage any transport required for Gift a Seat™ recipients (funding dependent).
- Compose and post occasional online content with Gift a Seat™ outcome stories on the company’s social media accounts
Developing paid bookings
- Build new, and maintain existing, relationships with schools, early childhood centres, Home School groups and school holiday programmes.
- Provide regular updates on our performances to encourage bookings.
- Grow the paying audience numbers from schools, early childhood centres, Home School groups and school holiday programmes
- Send out Teachers’ Resource Guides
- Ensure post-show surveys are completed and results shared with appropriate team members
- Assist when required for any amendments to, or problems with, bookings
Administration assistance
- Undertake daily administrative tasks to ensure the functionality and co-ordination of the office
- Administration assistant to the office Management team
Requirements
- Proven experience in a schools liaison role
- Proven experience in relationship management
- Demonstrable attention to detail
- Well-organised with a customer-oriented approach
- Excellent knowledge of MS Office, MailChimp, Survey Monkey
- Excellent telephone manner
- Not for profit experience ideal but not essential
- Able to work in an open office environment
- New Zealand Citizen
Contractor hourly rate: $30 per hour + GST (if registered)
Hours required: 15 hours per week, Takapuna, Auckland.
Suggested hours are 11am – 2pm daily to be available during teacher lunch breaks. Flexibility for some working from home is possible.
